How To

How do I give Claude or ChatGPT access to my Buildium data?

For a manager who reports to rental owners, the owner view becomes a question your team can type.

Claude or ChatGPT can answer from your Buildium data through Propexo MCP, which reads it from a warehouse you own. Connect, a separate Propexo product, keeps that warehouse loaded from Buildium, so the AI tool never connects to Buildium itself.

Connect authenticates with a Buildium API key and secret and loads rentals, leases, tenants, applicants, associations, rental owners and ownership accounts, work orders and tasks, vendors and bills.

What can an AI tool see in your Buildium data?

Ownership accounts load with the rental owners they belong to, so a question can be framed around one owner's account.

Associations load too, which lets a manager who runs HOAs ask about them in the same place as the rentals.

What Connect loads from Buildium

  • properties (rentals)
  • units
  • leases
  • tenants
  • applicants
  • rental owners
  • associations
  • ownership accounts
  • work orders & tasks
  • vendors
  • bills
  • GL accounts

Sync modes and destinations are on the Buildium integration page. How answers are scoped and traced is on the Propexo MCP page.

How do I set it up for Buildium?

  1. Load your Buildium data into your warehouse

Give Connect your Buildium API key and secret. After the first sync into your warehouse, whether that is Snowflake, BigQuery, Databricks or another supported destination, the warehouse stays current on the schedule you set.

  2. Set your definitions in Data Map

Propexo MCP requires Data Map, which holds one agreed definition of each metric and is how those definitions reach the AI tool. The questions MCP answers are approved with you at the same time. Who may ask, and about which properties, is set in your warehouse's own access controls.

  3. Point your AI tool at Propexo MCP

Claude, ChatGPT, Copilot or any other tool that speaks MCP can carry the connection, which is set up with you once the questions are agreed. Each answer names its definition and the system it came from, and a figure can be traced back to the Buildium record behind it.

What can my team ask about Buildium data?

  • Which rental owners have leases coming up for renewal this quarter?
  • How many open work orders and tasks does each association carry, and how old is the oldest?
  • Which applicants are still without an approval or a denial?
  • What did each vendor bill this quarter, and against which GL accounts?

Frequently asked questions

Is there an MCP server for Buildium?

Yes. Propexo MCP is one, and it serves the questions you approved, not open access to Buildium.

Do I need Data Map as well?

Yes. Propexo MCP requires Data Map, because the standardized metric definitions every answer uses live in Data Map, and that is how they reach the AI tool.

Which Buildium data can the AI tool see?

Rental properties, units, leases, tenants, applicants, rental owners, associations, ownership accounts, work orders and tasks, vendors, bills and GL accounts.

Can owners ask their own questions?

If you grant it. You can give an owner the questions and properties they should see, and revoke that access whenever you choose.

How is this different from an AI assistant inside Buildium?

An assistant inside Buildium answers from Buildium. Propexo MCP answers from your warehouse, so one question can draw on Buildium and the other systems you connect, with one definition of each metric.

Can the AI tool change anything in Buildium?

No. Propexo MCP is read-only and writes nothing back to Buildium.
